Role Purpose
To ensure effective and efficient coordination and liaison throughout the subcontracting process at Nesma & Partners in order to support successful project delivery.
Key Accountabilities
Operational Direction
- Assist the procurement team in identifying potential subcontractors for various projects and evaluate subcontractor qualifications, capabilities, and suitability for specific tasks to ensure that the project's requirements are met efficiently.
- Provide guidance regarding the legal and financial status of potential subcontractors during the preparation of the subcontractor list to ensure that potential subcontractors meet these compliance requirements to avoid any legal or contractual issues down the line.
- Create Notification of Awards (NOAs), Letters of Agreement (LOAs), Letters of Intent (LOIs), and subcontract agreements after selecting a subcontractor, ensuring that these agreements accurately reflect the negotiated terms to protect both the primary contractor and subcontractor in case of disputes or disagreements.
- Adhere to the advice from the C&L department regarding contract types and general terms in accordance with Nesma & Partners policies and procedures helping the organization avoid legal pitfalls, regulatory violations, and potential lawsuits.
- Monitor the signing process of subcontract agreements by all involved parties (PD/PM, Director – Subcontract / Corporate Subcontract Manager, and executive management) until the subcontractor receives the fully signed copy in order to avoid bottlenecks or delays caused by any party's inaction.
- Process all variation orders, amendments, termination letters as per site requests until signature.
- Establish an internal tracking system for all subcontract agreements within the Subcontract department, indicating their status (signed, partially signed, pending, etc.) for each package to ensure that agreements are moving through the process efficiently.
- Provide advice regarding the legal and financial position of subcontractors in the event of a change order claim, helping subcontractors assess the potential risks associated with a change order.
- Maintain proper documentation and communication with both the C&L and finance departments, ensuring that records are archived, monitored, and resolved as needed ensuring that the company complies with legal and contractual requirements. In case of disputes or audits, having clear records can protect the company from legal liabilities.

- Conduct all activities in a safe and environmentally responsible manner in compliance with internal policies and guidelines.
Reporting
- Assist in the preparation of timely and accurate reports to meet office support requirements, policies, and quality standards.
Technical Essential
Education/Certification
- Bachelor’s in engineering, or any other related field.
Experience
- 3-6 years’ related experience in roles within similar positions.
Languages
- English

Technical Preferred

- Supply Chain (Additional), Business Administration, or any other related field.
